Job Description



Position Overview:


The position of On-Call Receptionist / Event Host reports to the Outreach Coordinator for Afognak and its Alutiiq subsidiaries staff. The Receptionist functions as the primary administrative support for the Kodiak Facility.


Essential On-Call Receptionist Job Functions






+ Greet guests and answer and direct incoming calls in a professional and courteous manner.


+ Take and receive messages as needed or directed by staff.


+ Provide callers with basic corporate information such as company address, directions to locations, fax, website, etc.


+ Ensure coffee and water for guests is always available throughout business hours.


+ Keep reception area clean and free of clutter, remove any outdated brochures and reading materials from lobby


+ Maintain corporate calendar and Board Room schedules.


+ Keep Board Room clean and presentable, inspecting it on a regular basis to prepare room for all meetings.


+ Serve as primary contact for Shareholder Ravn coupon sales and provide monthly report to Shareholder Services


+ Process and distribute both incoming and outgoing mail in a timely manner.


+ Notify recipients and distribute faxes in a timely manner by sending an IM or an email to staff.


+ Maintain facility supplies for both the office and break room ensuring all organized in a consistent manner.


+ Provide administrative support to all departments as requested including but not limited to: shredding, typing correspondence, performing data entry, sending faxes, preparing and mailing packages, copying, filing, and making phone calls.



Essential On-Call Event Host Job Functions



+ Conduct hourly walk thru during an event and replenish toiletries, monitor trash, coffee, coffee add-ins and property perimeter checks for safety and overall quality satisfaction.


+ Provide assistance to renters and guests regarding use of room technology.


+ Ensures renters and guests abide within the guidelines listed in the rental contract.







Required Skills



Required Qualifications



+ A minimum of 2 years' experience in all aspects of administrative support


+ Ability to communicate with the public in a professional and courteous manner and handle difficult situations


+ Must adhere to the Corporation's confidentiality policy


+ Excellent organizational skills with the ability to meet deadlines, and prioritize work effectively


+ Strong computer skills with proficiency in Microsoft Office Suite programs, Adobe Professional and the ability to exercise strength in internet research projects


+ Required High School Diploma or GED


+ Valid state driver's license with a clean driving record.
